Regulations

Arrival and Departure Dates

The Festival will take place from July 7 to July 14, 2025. 

  • The Taiwan group will arrive on July 7. 
  • The group from Bosnia and Herzegovina will arrive on July 9. 
  • The departure of all groups is scheduled for July 14, with the check-out of rooms and common areas. There is no fixed check-out time, but it is necessary to vacate the premises by the end of the day. 

Identification Badges  

Upon arrival, the staff of the Gruppo Folk-Corale Rododendro will hand each participant an identification badge that must be worn visibly throughout the festival. The badge is essential for access and recognition within the facility and at events. 

Room Assignment and Usage  

Accommodations are provided in shared rooms, assigned upon the arrival of each group and maintained until the end of the festival. Members of each group may independently organize the sleeping arrangements within their designated room, but mixing participants from different groups in the same room is not permitted. Every night, some members of the Gruppo Folk-Corale Rododendro will sleep on-site, remaining available for any needs or emergencies. 

Rules of Conduct and Use of Spaces 

It is essential to maintain the utmost respect for the facility’s premises, the staff, and other guests. 

  • Moving beds, furniture, fixtures, or other equipment without prior authorization is prohibited. 
  • Smoking inside the facility and introducing unauthorized substances is strictly forbidden. 
  • Access to areas reserved for the staff or the organization is prohibited. 
  • Any material damage caused will be considered the responsibility of the involved group and must be compensated. 
  • At the end of each performance, groups must return to the facility accompanied by the staff, either by using the provided buses or on foot, depending on the distance to the event venue. Once they have returned with their escorts, leaving is not permitted until the following morning. 
  • After breakfast, it will be possible to leave the facility for scheduled or personal activities, but every departure must be communicated in advance to the staff. 
  • All requests for changes to schedules or activities must be agreed upon with the organizing personnel. 

Meals  

Meals will be organized according to the day’s commitments, with various arrangements: some meals will be served at the facility, others provided as packed meals or held at the event venues. The indicative times are: 

  • Breakfast: 8:00 am – 9:00 am 
  • Lunch: 1:00 pm – 2:00 pm 
  • Dinner: 7:00 pm – 8:00 pm 

It is important to promptly report any allergies or food intolerances if not already done so. After breakfast, any changes or updates to the daily schedule will be communicated. 

Excursions and Independent Activities  

Organized excursions to explore the local territory, monuments, and culture are optional, but it is necessary to inform the staff of the number of participants at least 24 hours in advance. During independent or free outings, it is essential to maintain proper, responsible, and respectful behavior toward people, places, and the applicable regulations, in accordance with Italian civil and criminal codes. Straying too far from the group or the responsible persons is not permitted, to ensure safety and coordination of activities. Any changes or modifications compared to what was communicated must be promptly reported to the organizing staff. In the case of underage participants, the presence and supervision of a responsible adult representative is mandatory. 

Emergency Numbers and Procedures  

In cases of medical, safety, or other critical emergencies, rapid action is required:  

  • The European emergency number is 112, to be called immediately in case of urgent need. 
  • For non-urgent medical assistance, the local on-call medical service is available at 116117
  • In any emergency or necessity, it is mandatory to also immediately inform the members of the Gruppo Folk-Corale Rododendro or the organizational contacts, who are available 24 hours a day, for support, coordination, and assistance with communications to the rescue services. 
  • Remaining calm and following the staff’s instructions is fundamental for effective management of the situation. 

Communications and Calendar  

Throughout the festival week, it is necessary to regularly consult the activity calendar provided by the staff, as well as any notices and updates related to your group. All information will be published on the official website folkrododendro.com on the dedicated page and communicated to the guest groups. 

General Provisions 

Compliance with all laws and regulations in force at the Italian, regional, municipal, and European levels is mandatory. All participants are required to maintain appropriate and respectful behavior at all times. Any violations of these regulations or of the applicable laws may result in measures by the organization and, if necessary, the intervention of the competent authorities.
